What is balancico?

balancico is an app for managing shared expenses in groups. It helps you record costs in lists, split them fairly, and settle open balances between members.

What is the difference between a group and a list?

A group is the higher-level area for members, categories, and multiple lists. A list is a single collection for specific expenses and payments.

Practical example: the trip is the group, while individual lists inside it might be travel, accommodation, or restaurants.

Does balancico also work offline?

balancico is designed to sync between devices and can cache changes locally. Depending on the connection status, there may still be short delays before everything is visible everywhere.

How do I create a new group?

A new group can be created in just a few steps:

  1. Open the home screen
  2. Tap “New group” or the plus button
  3. Enter a name
  4. Choose a currency
  5. Optionally reuse members or categories from an existing group
  6. Save – the new group opens immediately

Can I use a group as a template?

Yes. When creating a new group, you can optionally select an existing group and reuse its members and categories.

How do I join an existing group?

From the home screen, use the join button to enter an invite code or invitation link. If the code is valid and your plan allows it, you will be added to the group.

Where can I find the invitation code for my group?

Open the group you want and tap the share or QR button. There you will find the invite code, invitation link, app link, and QR code in one place.

What is the difference between an invite code, link, app link, and QR code?

All four options lead to the same outcome, but they are useful in different situations.

  • Invite code: short code for manual entry
  • Link: directly shareable web link
  • App link: alternative option if the browser or messenger acts up
  • QR code: quick access by scanning with the camera

How do I edit a group?

From the group card menu or the group banner, you can change the name, group image, background image, and group currency.

How do I archive, find, leave, or delete a group?

You can access these actions from the menu of the relevant group card. You can also find archived groups in the side menu under “Archived groups”.

If you leave the group and you are also the last remaining member, the app offers deletion instead.

Can I merge two groups?

Yes. From a group card menu, you can merge one group into another.

The app first checks whether both groups use the same currency. If not, you must choose a target currency from those two group currencies before the merge. The entries from the group with the different currency can be converted right away, including a reviewable or manually adjustable exchange rate.

Manage members, create lists, sort them, archive them, and keep everything organized.

How do I add or edit a member?

Open the relevant group, go to the “Members” section, and tap “Add”. In the detail view, you can later adjust the name as well as the profile and background image.

What can I see in a member’s details?

There you can find the profile, the name, an overview of that person’s lists, amounts already paid, and the current balances per list.

balancico now also shows that person’s related expenses and recorded settlement payments for each list, so it is easier to understand how the balance is built up.

How do I remove a member or send an invitation directly?

In a member’s action menu, you can either choose “Remove” or send a group invitation directly. If open balances are still relevant, balancico will show helpful warnings first.

How do I create a list?

Open a group, tap “Add” in the lists section or use the plus button, enter a name, and save the list.

How do I sort or archive lists?

Inside a group, you can use the sort button to reorder lists via drag and drop. From a list’s menu, you can also archive, restore, or delete it.

What do “Clear list” and “Close list” mean?

“Clear list” removes the entries but keeps the list structure intact. “Close list” marks the list as finished in terms of content; in that state, you normally cannot add new entries anymore.

Can I reopen or rename a closed list?

Yes. In the list view, closed lists have an action for reopening. You can also change the name, list image, and background image via the image or edit action.

How do I add an expense?

Open a list, tap the plus button, choose “Expense”, and enter the description, amount, date, category, payer, and participating people. Then simply save it.

How do I add a payment between two people?

Open a list, tap the plus button, choose “Payment”, enter the amount, and specify who paid and who received the payment.

What is the difference between an expense and a payment?

An expense is an actual cost that is split between several people. A payment is a direct settlement between two people to reduce open balances.

Can I edit or delete an entry later?

Yes. In a list, you can open the menu for each entry and choose “Edit”. Deleting also works via the menu or with a swipe gesture – with a confirmation prompt before anything disappears.

Why do I see a “New” badge on some entries?

The app temporarily marks new or unread entries so changes in lists are easier to notice. You can influence how long this marker stays visible in the settings.

Why is an amount per person shown for an expense?

When an expense is shared among several people, balancico also shows the calculated share per person. That makes it immediately clear how the total amount is split.

Can I create a new category directly while entering an expense?

Yes. While entering an expense, there is a direct option to create a new category. However, this feature depends on Premium.

How can I see who owes money to whom?

In group and list views, balancico shows balances and settlement suggestions. This makes it clear who should currently receive money and who still needs to pay.

What is a settlement?

A settlement is a suggested payment between members so that open amounts can be cleared as simply as possible and with as few payments as possible.

How do I settle a list?

Open the list, tap the settlement button, review the suggested payments, and record them. Optionally, you can send reminders or close the list right afterwards.

How do I settle an entire group?

In the group detail view, you can open the group-wide settlement. Open lists are taken into account there, so you can record settlements in one place.

Can I view settlement amounts in a different currency?

Yes. In the settlement area, you can choose a different currency for display purposes. The actual booking still happens based on the group currency.

Can I remind members about open payments?

Yes. In the settlement area, there is an option to send reminders. This lets you nudge open payments directly from the app.

What are categories for and how do I manage them?

Categories help you structure expenses more clearly – for example food, transport, accommodation, leisure, or household. In the group detail view, you can open “Manage categories” to create new categories, rename them, or delete them with a replacement category.

Why can’t I edit or add categories?

Advanced category management depends on Premium. If your current plan does not include this feature, the app shows a Premium hint instead.

Can I export my data and in which formats?

Yes, as long as your plan includes the export feature. You can export individual lists or multiple lists from a group.

Why can’t I see or use export?

Export is a Premium feature. Without Premium, balancico shows a corresponding hint instead.

What is limited in the Basic plan and what does Premium add?

In the Basic plan, group usage is mainly limited to one manageable group, plus a maximum of two active lists per group. Premium removes these limits and adds convenience features such as export, Premium Insights, advanced categories, and reopening the last screen.

Is Premium a subscription, and how do I restore purchases?

No. According to the current setup, Premium is unlocked with a one-time purchase. You can find the Premium flow and the option to restore existing purchases in the “Plan” section inside settings.

How do I change the language, regional format, and default currency?

Open the settings. There you can set the language, regional format, and default currency for new groups separately. The regional format influences how numbers, dates, and currencies are displayed, for example.

Which languages does the app currently support?

How do I change the app design?

Open the settings and switch to the design editor. There you can adjust colors, style, and background image, and save your own designs for later use.

How do I change notification settings?

In the settings, you can separately decide whether you want notifications for new, changed, or deleted entries, as well as for settlement events.

What does “Remember last screen” mean?

If this feature is active, the app tries to return to the group or list you last visited the next time you open it. This feature depends on Premium.

Can I use profile or background images?

Yes. Groups, lists, members, and the app design all support images in different places. Depending on the platform, cropping may appear in a slightly different flow – usually more native on mobile and more screen-based on desktop.

Why can’t I join a group?

Possible reasons include an invalid invite code, an expired link, missing authentication, or a limit in your current plan. In the Basic plan, joining can also be blocked if the target group has more than two active lists.

Why can’t I create a new list?

A limit in your current plan may have been reached. In the Basic plan, each group can have a maximum of two active lists.

Why can’t I add anything to a list?

The list may be closed. Closed lists need to be reopened before new entries can be added again.

Why don’t my expected amounts match the balance?

A quick plausibility check often helps.

  • Was a payment entered instead of an expense, or the other way around?
  • Was the correct payer selected?
  • Are all participating people marked correctly?
  • Were settlement payments recorded afterwards?
  • Was the group currency changed?

Why do I sometimes not receive a notification even though something changed?

If you already have the same list open, the app suppresses certain in-app notifications because you can already see the changes directly. Your own actions in a list you are currently editing are also temporarily excluded to avoid unnecessary duplicate notices.

Why don’t I see changes immediately on all devices?

Depending on the connection, synchronization status, or device state, there may be short delays before data becomes visible everywhere. The online/offline indicator helps you understand whether a sync connection is currently available.
