Overview

balancico.app is an app designed to jointly manage expenses in groups, such as for trips, shared apartments, events, or shared households. The app is built to make onboarding as simple as possible: groups can be created without a traditional user account and shared via link or QR code.

We process only the data necessary for operating the app, synchronizing within a group, calculating settlements, and processing support requests.

What data is processed

1. Content provided by users

Depending on app usage, the following content may primarily be processed:

  • Group names
  • Member names or aliases
  • Expenses, amounts, currencies, and exchange rates
  • Distribution shares, debts, and settlement information
  • Lists, categories, descriptions, and comments
  • Optionally uploaded or selected images (e.g., for group or list designs)
  • Export data, when generating reports as PDF or CSV

This content fundamentally originates from user inputs within the respective group.

2. Technical data

While operating the app, technical information may be processed if necessary for functionality, stability, security, and synchronization, specifically:

  • App version
  • Operating system and device type
  • Local technical identifiers
  • Timestamps of synchronization events
  • Technical error and log data in the event of crashes or support requests

3. Synchronization data

balancico.app uses local device storage and synchronization for shared group data. Data required to keep changes consistent and as up-to-date as possible across a group’s devices is processed.

4. Notifications

If push notifications are enabled, technically necessary push tokens may be processed to deliver notifications to the respective device.

5. Payment and purchase information

balancico.app offers premium features as a one-time purchase and not as a subscription. Payments are generally processed via the respective platform providers, particularly the Apple App Store or Google Play. balancico.app does not receive full payment details, but only the information needed to activate, assign, or verify a purchase status.

6. Advertising in the Basic plan

In the Basic plan, balancico.app may display subtle advertising placements. For this purpose, the advertising network used may process technical information required for the delivery, limiting, measurement, and security of ads. Depending on the configuration, this may include device identifiers, IP address, app and device information, approximate location data, and interaction data relating to advertisements.

Advertising in balancico.app is intentionally used sparingly and is not shown in sensitive input or payment flows.

Before requesting personalized or otherwise consent-relevant advertising, balancico.app may display a privacy and consent dialog from the advertising or consent partner in use. Privacy options for advertising can then be reopened later via the app settings.

7. Support communication

When you contact us, we process the information you voluntarily provide in your message, such as:

  • Email address
  • Subject and content of your request
  • Device and version details
  • Screenshots or error descriptions

What we use data for

We use data primarily for the following purposes:

  • Providing and operating balancico.app
  • Local storage and synchronization of group data
  • Calculating balances, settlements, and minimum transactions
  • Providing multi-currency and export functions
  • Technical stability, error analysis, and abuse prevention
  • Processing support requests
  • Handling and managing premium features
  • Financing the Basic plan through subtle advertising placements

Sharing with third parties

Data is only shared to the extent necessary for operating balancico.app or if required by law. This may include technical service providers used for hosting, synchronization, push notifications, platform billing, or support communication.

Depending on the actual setup, these can include:

  • Hosting and database services for synchronization
  • Push notification services
  • Apple and Google for app distribution and in-app purchases
  • Google AdMob or comparable advertising service providers for ad delivery and measurement
  • Email infrastructure for handling support requests

Storage location and duration

Some data is stored locally on the device used. Group data intended for shared use can additionally be processed and stored via the employed synchronization infrastructure.

Data is fundamentally stored only as long as necessary for its respective purpose, in particular:

  • as long as a group is actively used,
  • as long as a support case needs to be documented or remains open,
  • as long as statutory retention obligations exist,
  • or until the data is deleted, anonymized, or systematically overwritten.
